About the Role

Tiptree Medical Centre are looking for an organised, confident and proactive Operations Supervisor to take responsibility for the smooth day-to-day running of our reception and administrative functions.

This is a varied, hands-on supervisory role at the heart of the practice. You will lead our reception and administration teams, coordinate clinical and non-clinical rotas, support HR processes and ensure that important operational systems and workflows run effectively.

The role would suit someone who enjoys leading people, solving problems, improving processes and keeping a busy organisation running smoothly. Previous NHS or general practice experience would be helpful, but strong supervisory and operational experience from another sector would also be welcomed.

Key responsibilities will include:

  • Lead and support the reception and administration teams, including staff training and day-to-day supervision.
  • Coordinate clinical and non-clinical rotas, ensuring appropriate staffing and cover.
  • Oversee reception and administrative processes, including appointment booking and workflow management.
  • Manage the practice telephone system and help ensure effective patient access.
  • Authorise staff leave and undertake appraisals for appropriate non-clinical staff.
  • Support day-to-day HR administration and staff management.
  • Maintain and oversee key practice operational information, including the Practice Index and SystmOne home screen.
  • Coordinate Significant Event Reviews, ensuring actions are recorded and followed through.
  • Ensure relevant claims are actioned accurately and promptly.
  • Oversee and improve administrative workflows, including discharge reviews, GPAD and BP filing.
  • Coordinate the administrative aspects of the QOF recall process, ensuring systems are effective and deadlines are met.
  • Work closely with the senior management and clinical teams to identify problems and continually improve the way the practice operates.

This is an opportunity to take on a genuinely influential operational role within a busy GP practice. Rather than simply administering established processes, we want someone who will take ownership, improve how things work and help develop our reception and administration teams.

You will work closely with the practice leadership team and have considerable scope to shape the day-to-day operation of the practice.

About the Candidate

We are looking for someone who is:

  • Organised and dependable, with the ability to manage competing priorities in a busy environment
  • Confident supervising and developing staff
  • Comfortable taking ownership of problems and seeing them through
  • Able to communicate effectively with clinical and non-clinical colleagues
  • Interested in making systems and processes work better
  •  Experience of staff supervision, rota management, HR processes or operational management would be particularly valuable
  • NHS/general practice experience is desirable rather than essential, and training can be provided in practice-specific systems and processes
